The Hackathon Schedule:

The Hackathon will be fast-paced, collaborative, and engaging - with time to explore ideas, hear from others and develop your group’s response to the challenge.


This outline gives you a sense of what to expect, while allowing room for creativity and flexibility throughout the day.

  • Approx 30 mins

    • Participants get into their groups/meet their fellow group members with coffee/pastries etc 

    • Deliver the briefing to participants and answer any questions, including the role of the facilitator. Facilitators introduce themselves to everyone (they will also be participating)  

    • Thank you/why today matters - an overview 

  • Approx 30 mins

    • The participants in each group are given 30 mins to think about and sketch out their initial response to the QUESTION in their group 

    • They each do this by writing/mind mapping/sketching their MAIN IDEAS out on a single piece of paper. 

    • This is about HIGH LEVEL ‘BIG IDEAS’ re: personal stories, ideas and opinions in response to the issue: their immediate thoughts should flow, no matter how basic or creative. 

    • Ask: Who is this for? Who will benefit? How do you test it? How do you know if it has impact? What resources and/or who do you need to work with to put it into action?  

    • Facilitators will help tease out ideas, and encourage participants to fill out their sheets, be it individually or to the wider group. 

  • Approx 30 mins

    • Each participant shares their top-line ‘sketch/writing' solution to the question with other members of the group - taking no more than around 5 mins per person - answering questions from the group as they go. 

    • The facilitator in each group will support participants in sharing their thoughts, especially those who may feel less confident in articulating their ideas. They will need to make sure the group is on time, plus take notes/write up their broad concept with as much clarity as possible. 

    • This is where the initial foundations of ideas will be created and explored.  

  • Approx 30mins

    • Once all the group members have articulated their solution, they collectively critique them - identifying which are similar and place them into theme ‘topics’. 

    • Again, the facilitator will support participants in expressing their ideas and critiques. 

  • Approx 30 mins

    NOTE - some teams might move straight to PART 5 if a clear stand out idea has been identified. 

    • Once the group has worked together to identify the various solutions for their question they then discuss/deliberate the options before voting on which specific solution should be developed. 

    • The group needs to make sure the discussion flows, asking questions when required to encourage debate and interrogation of ideas, while also seeking consensus. 

  • LUNCH – Kasa will be serving a mezze style lunch. Can be a networking or working lunch, more discussion/ideation if needed. 

  • Approx 1hr 30mins (impromptu breaks allowed)

    - Begin with a quick 2-3 minute energiser  

    -The group take their agreed solution and develop it  

    -This will demand a lot of thinking - tapping into the expertise and insight of the participants, and if necessary, carrying out research etc online. 

    -Debate and discussion are encouraged. 

    -Part 5 will be structured in three phases. 

    -Phase 1 (2pm-2.30pm): Planning Evaluation:

    • The question/solution has to be robust and grounded in reality whilst also embracing the idea of ‘what if…?’ 

    • Use the presentation questions to refine the concept by identifying its core activities, expected outcomes and broader impact.    

    • Use a laptop or phone for research if needed.  

    • Ask: Is this SOLUTION biased? HOW will this solution be used? Who is the audience? Who will benefit/who will impact? What is the USP? 

    -Phase 2 (2.30-3pm): Testing & Resource Planning: 

    • Define how to test the idea in a realistic context, and design a simple test or prototype. 

    • Prototypes should uncover unexpected insights and challenge assumptions, possibly reframing the problem.  

    • Ask: What is the fastest and most viable way to test if this idea works? Are there real-world case studies to draw from? 

    • Identify resources needed. Leverage what you already have – tap into your own expertise, team knowledge, existing networks, online tools. 

    • Identify how to collect and assess feedback.

    -Phase 3 (3-3.30pm): Presentation  

    • Groups will consolidate their main idea into a coherent presentation. The presentation template is there to help, but groups can choose whether or not to use it. 

    • Groups are encouraged to practice their presentation during this section. 

  • Approx 1hr 45mins

    Each group presents - no more than 10 mins per presentation. 

  • Cocktails and networking on the beach  

    • Refreshments served, networking outside in JW3’s Piazza & Beach
